Sharing group

Sharing groups contain multiple vehicles that can be booked by selected members. The members of sharing groups are defined via membership objects. Optionally accredited users are granted access to the sharing group’s vehicles.

Sharing groups are administered by users with Organisation level roles.

Group administrator

At least one sharing group administrator has to be set. The role of the group administrator is to look after the sharing group - this includes tasks such as: accept/decline membership request, create users, administer vehicles. See sharing group level roles.

Admission modes

The admission mode defines which users are granted access to the sharing group’s vehicles.

The following admission modes are available:

  • Membership request: a confirmed membership entry grants access to the sharing group.

  • Accreditation request: a confirmed accreditation entry grants access to the sharing group.

  • Membership or accreditation request: both options (membership request or accreditation request) grant access to the sharing group. Hint: the membership request takes precedence over the accreditation request, i.e. by default a membership request will be triggered when users request access to the sharing group.

Visibility settings

Per sharing group, administrators define what data other members of the sharing group are allowed to see.

Users with administrative roles (org admin, group admin) are exempted from the rules and see all user / reservation data in order to perform their duties.

The following settings can be made:

  • User data visibility: range of options from no data to basic data.

  • User data expiry: define time span after which user data will not be displayed anymore.

  • Reservation data visibility: define if the reservation fields note and purpose are viewable by other users of the sharing group.

Larger sharing groups tend to set the user data visibility more restrictive, whereas smaller sharing groups tend to follow a more liberal approach. Being able to contact other users directly without the need to contact support, makes sharing in smaller groups easier.
